1. Introduction

This Privacy Policy describes how StellarCalls ("we," "us," or "our") handles information when you use our websites, applications, and related services (collectively, the "Service"). This policy is provided in English only. By using the Service, you agree to this Privacy Policy.

2. Information we collect

Account and authentication. When you create an account, we process information needed to authenticate you and maintain your session, such as your email address and authentication identifiers. Our authentication and database hosting are provided by Supabase, which processes this data on our behalf.

Profile and billing. We store subscription-related information associated with your account (for example, plan tier and usage counters). If you subscribe to paid plans, payment processing is handled by Stripe; we receive billing status and identifiers needed to manage your subscription—we do not store full payment card numbers on our servers.

Content you create. The Service is designed for meetings, lectures, and similar sessions. We process and store content you generate or upload, including session titles and metadata, transcript segments, notes, summaries, chat messages you send within the app, embeddings derived from your content for search and AI features, and optional shared links you create. Audio may be streamed to our transcription backend for real-time speech-to-text; transcript text and related data may be stored in our database.

Meeting bot data. If you use the Meeting Bot feature, a bot joins your meeting on a supported platform (such as Zoom, Google Meet, or Microsoft Teams) using a third-party service. The meeting URL you provide, bot session metadata, and the resulting transcript are processed and stored to provide the feature.

Email follow-up data. If you configure follow-up emails, we store the recipient email addresses you provide and your auto-email preferences. When a follow-up is sent, your session summary is transmitted to the email service provider for delivery to your chosen recipients.

Recordings and media. Depending on how you use the Service, video or audio recordings may be stored in Supabase Storage associated with your account, and/or cached locally on your device using the browser's IndexedDB so you can replay media without re-downloading.

Device and app settings. We may store non-sensitive preferences in your browser (for example, display language or integration settings you save) using local storage where applicable.

Technical data. Like most web services, our servers and infrastructure providers may automatically collect standard technical information such as IP address, request timestamps, and diagnostic logs needed for security, abuse prevention, and reliability.

3. How we use information

We use the information above to:

  • Provide, operate, and improve the Service (including transcription, translation, notes, summaries, chat, meeting bot, and email follow-ups)
  • Authenticate users and enforce plan limits and fair use
  • Process subscriptions and communicate about billing when applicable
  • Maintain security, prevent fraud and abuse, and comply with legal obligations
  • Generate AI-assisted outputs using third-party AI providers when you use those features

4. Third-party services

We rely on subprocessors to run the Service. Depending on your use of features, data may be processed by:

  • Supabase — authentication, application database, and file storage for recordings and related metadata
  • Stripe — payment processing and subscription management when you purchase a paid plan
  • OpenAI — AI models for features such as summaries, chat, embeddings, and certain assistant workflows; content you submit to those features may be sent to OpenAI's API under their terms
  • Deepgram (or similar speech APIs configured for our stack) — real-time and batch speech recognition from audio you choose to send for transcription
  • Recall.ai — meeting bot service that joins video conferencing platforms on your behalf to capture audio and generate transcripts when you use the Meeting Bot feature
  • Resend — transactional email delivery for sending follow-up summary emails to recipients you specify

Each provider has its own privacy policy governing how they handle data they process. We recommend reviewing their policies if you need detail beyond what we describe here.

5. Sharing of information

We do not sell your personal information. We share data only as needed to operate the Service: with the subprocessors above, when you use optional sharing features (for example, generating a link to share a session with people you choose), when required by law, or to protect the rights, safety, and security of our users and the Service.

6. Data retention and deletion

We retain your information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may be able to delete certain content or your account through the application; residual copies may persist for a limited time in backups or logs. If you need help with deletion, contact us using the method we provide for support.

7. Security

We implement reasonable technical and organizational measures designed to protect your information. No method of transmission or storage is 100% secure; you use the Service at your own risk to that extent.

8. International transfers

Our service providers may process data in the United States and other countries. Where required, appropriate safeguards (such as standard contractual clauses) may apply.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export certain personal data, or to object to or restrict certain processing. To exercise these rights, contact us through the support channel we make available. We may need to verify your request.

10. Children

The Service is not directed to children under 13 (or the age required by your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected such information, contact us so we can delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. Continued use of the Service after changes constitutes acceptance of the updated policy where permitted by law.
